Step 1 – Shortlist a property and arrange a viewing ▼

If more than one property catches your eye, you can arrange multiple viewings and we can even provide transport for you from viewing to viewing. We can also meet you at the office or at the property, whichever you find most convenient.
Step 2 – Securing your chosen property ▼
You have found the perfect home and want to move in - what happens now?
We will ask you to complete an application form with information including your full contact details, job title, income, proposed move-in date and length of initial tenancy. We will then contact the landlord to inform them that you wish to rent the property.
Occasionally, landlords who work with us on a let-only basis may wish to meet prospective tenants before accepting an application. This is an informal get-together at the property to allow both parties to meet each other. This is a helpful introduction because let-only landlords manage their own properties once the tenancy begins. We will of course inform you if this is the case for the property you are applying for.
Once your application has been accepted, we will send you confirmation in writing with the terms and conditions. At this stage we will require a holding deposit equivalent to one week’s rent to take the property off the market.
Whilst the holding deposit is non-refundable if you decide to withdraw your application before moving in, should everything proceed as expected, the deposit will be deducted from your first month’s rent.
Please bring your passport with you if you wish to secure a property, as we cannot proceed with your application without this. This applies to each tenant signing the agreement. All lets are agreed subject to references and contract.
Step 3 – Credit and reference check ▼
We use a company called Keysafe to carry out credit and reference checks on our behalf. We will register you with Keysafe and they will send you a tenancy application via email for you to complete online.
Keysafe will ask all applicants for the following information:
- Employment details
- Landlord details
- Bank details
- Personal reference
- Proof of address
- Passport
Overseas applicants as above plus
- Visa/Biometric Residents Permit
Self-employed or retired applicants will be asked to provide the following in addition:
- Proof of income (usually in the form of a P60, tax return or pension statement)
- Reference from your accountant
We request that all applicants submit their Keysafe applications within 48 hours of receipt to avoid any delays to the move in date. Employers sometimes have long lead times for responding to references so it may speed things along if you inform your HR or payroll department, as well as your current landlord or letting agency, to expect a reference request from Keysafe. This is particularly important for tenants who wish to move in within a short period of the let being agreed.
The standard process involved in renting a property may feel daunting, but if you feel worried or concerned about the checks or references, please tell us at the beginning of the process so that we can advise you accordingly. It may be nothing to worry about or we may simply ask you for additional documentation.
Step 4 – Move-in monies ▼
‘Move-in monies’ refers to the money required before you can move into your property. We will send you an invoice detailing the total amount due prior to the start of your tenancy and this will be broken down as follows:
- Deposit
- First month’s rent
In order to release your keys, cleared funds must be in our account in full by the start date of your tenancy agreement. Monies can be paid in advance by bank transfer or by debit card on the moving in date.
Damage deposit:
The damage deposit payable for each property is a sum equivalent to five week’s rent.
For our managed properties, your deposit will be registered with the Tenancy Deposit Scheme (TDS). Let-only landlords may also choose to use the TDS or another scheme to register your deposit – their chosen scheme will be listed on your tenancy agreement. All deposits held in connection with an Assured Shorthold Tenancy (AST) must be registered with a deposit protection scheme within 30 days of the tenancy start date.
First month’s rent
Your first month’s rent will be required in advance. For properties that we manage, we will set up a direct debit for your ongoing rental payments. For let-only properties, you will be required to set up a standing order directly and we will provide you with the landlord’s account details. All direct debits and standing orders will be payable on a monthly basis and will leave your account four days in advance of the rent due date.
Step 5 – Moving in! ▼
A couple of days before your move-in date we will arrange a convenient time for you to attend the check-in appointment. We will also email the tenancy documentation for signature via Docusign.
The check-in appointment should take no more than one hour, although this can vary depending on the size of the property. Together we will undertake a full inventory, including meter readings and we will provide you with one set of keys per tenant.
Step 6 – Aftercare ▼
After the move-in appointment we will inform all of your utility providers that you are the new occupiers and we will provide them with the ingoing meter readings. Most utility companies will send a welcome letter within 14 working days. However, some may not contact you until the first bill is due. If you are concerned that you have not heard from your supplier, we advise that you call the relevant provider directly.
We will register your deposit within 14 days of your tenancy start date and will send you the Deposit Registration Certificate via email.
Maintenance issues during your tenancy
For our managed properties we will be your first port of call for any maintenance concerns. We have 4 full-time members of staff who work in our maintenance department and they liaise with landlords and contractors in order to address and resolve any maintenance issues that you may have during your tenancy. If you have moved into a let-only property, you will need to contact your landlord directly to inform them of any maintenance issues. You will receive your landlord’s full contact details on the tenancy agreement.
Tenancy renewals for managed properties
When your tenancy period comes to an end, we ask you to inform us in writing if you wish to remain in the property and extend your tenancy agreement. Unlike many other agents, we do not charge a renewal fee. Your contract can be renewed on a periodic basis (i.e. month by month) or for another six months. Please note that some landlords may prefer a fixed term over a periodic tenancy and all renewals are subject to the landlord's agreement.
Step 7 – Leaving your managed property ▼
If you decide that the time has come to move on, we ask that you provide a minimum of one month’s notice in writing as per the terms of your tenancy agreement. We will then send you an email detailing the check-out process. Once the property has been placed back on the market, we will always give you at least 24 hours’ notice before any viewings.
Your deposit will be returned via BACS transfer within 14 working days of your tenancy ending providing there are no deductions to be made.
Many of our tenants go on to become landlords themselves and it is always a pleasure when we are asked by our former tenants to help them let their own property!
